Use a Salesforce Report as a Data Set Source

Starting with the Geopointe June '17 Release, you can now use standard Salesforce reports as the source for Geopointe Data Sets.  This means that you can now use some of your favorite Salesforce Reports to visualize your data in Geopointe with only a few clicks.  This document will walk through enabling and using this feature.

Enabling Report-Sourced Data Sets for Your Organization

A Geopointe admin must first enable report-sourced data sets before they can be created on the Geopointe Map.
  1.  Head to the Geopointe Setup page in your Salesforce Organization.
  2.  On the Org Settings tab, click the gray Edit button near the top of the page.
  3.  Near the middle of the settings page that opens, you will see a check-box labeled Report Sourced Data Sets (Beta).  Make sure this box is checked.
  4.  Click Save at the top or bottom of the page.

Create a Geopointe Data Set from a Salesforce Report

Head to the Geopointe Map page in your Salesforce Org. On the Saved Layers panel, click the Plus Sign icon to the right of the Saved Layers search bar. (Figure 2 below)

On the dialog box that appears, click the Data Set option (the 3 colored map-pins) to create a new data set. (Figure 3 Below)

In the Data Set Name field, write in what you would like this data set to be labeled as in the User interface. In the Map Object pick-list, choose the object that matches your Salesforce report. For example, if I wanted to create a data set from my "Accounts by stage" Report, I would choose the "Accounts" Object.

Once you select the Map Object, a checkbox appears labeled Use Report Source. Make sure to check this box. A new field called Select Report appears, and you can click the blue text labeled None Selected. (See labels 4-7 below)

Once you do, a search bar will appear with the words Report Name. Begin typing the name of your Salesforce report. You will notice that it will auto populate with reports that contain the words you have typed.  When you see the Report you want, click it, and then press the Select button.  Click the Create Data Set button to deploy the new Data Set- opening up the page to edit the data set. (Options 8 and 9)

Current Limitations and the Beta Stage

We are excited to deliver this feature, but this feature is currently BETA. Since it is a BETA version, here are some things to take note of and be savvy to when using it.
  • Only the following objects are currently supported: Accounts, Leads, Opportunities and Contacts. Salesforce Reports are one of the original features of Salesforce, so there are quite a few unique programming quirks that do not exist in the rest of Salesforce as it is currently. This makes building Reports into Geopointe quite the challenge. With your feedback and testing, we look forward to building a feature-perfect version in the future.
  • Not all Fields and Filters will transfer: there are some fields that are available solely inside the Salesforce Reporting platform. These fields, and therefore any filters that use them, will not transfer to a Geopointe data set.
Here are some of the fields that do not transfer:
  • If you make changes to the data set and then close the Edit window, your changes will apply to the data set’s search results; you can add, remove or change filter values, and select the fields you want to use in your search. However, these changes are not savable. If you exit/refresh the map page, once you return, the data set will sync back up to match the report it is based on. This is to ensure that the report and the data set always line up.
  • Cross-Object Filters are not able to transfer over from a report to the corresponding data set. Filter logic will certainly transfer correctly, but only for fields/filters that are compatible (See #2 directly above).
